Billing Calculations

Follow the below steps to create a Billing Calculation code:

 

1. From the ChartNet Client, select System Setup, then Calculations on the left.
2. If it is a site specific Calculation code, enter the Site Code in the Site Code box.
3. Define the Code (best practice for site specific codes is XXXX_BILLING, where XXXX is the site number.
4.Select BILLING for the Calculation Type.
5.Define a Description for the Calculation code.
6.Select the appropriate Units:
a.        CHARS (characters) - Visual black character line counting.
b.        LINE - Line counting.  For LINE, also define the Conversion Factor, i.e., for a 65 character line, the Conversion Factor would be 65.
c.        REPORT - Bill per report.
d.        GROSS - Counts every line that has text.  NOTE:  For voice recognition reports using the GROSS line count method, lines are counted after the document renders.
e.        WORD - Counts every word.
f.        PAGE - Counts every page.
g.        MINUTES - Counts minutes of dictation. Billing reports will calculate minutes, but it is best practice to use Voice reports, because Billing reports round the value.
7.Define the Billing rates or the cost per unit, as well as any additional rates for stats and voice recognition.  Defining the rates is not mandatory.
8.Select what is being counted per Unit.  If headers and footers are billable, under that Sites Form setup, Header All and Footer All tabs, define the number of characters for the Header and/or Footer.
9.Text on Forms and Templates can be protected.  Protected text is excluded from line counts. You can bill for protected text by selecting Count Protected Characters at Regular Rate, or a Protected Override Rate can be defined in the Rate Calculations.
10.Weight Factors can be assigned to Forms or Providers.  A Weight Factor will increase the number of lines.  The standard weight factor is 1, thus 10 lines equals 10 lines.  Increasing the weight factor on a Form or Provider to 1.1 will multiply 10 lines times 1.1, for a line count of 11.
11.Under the Misc tab, you can define any numeric expressions for characters or lines and define late penalties for lines or reports.  You can also select to not perform calculations by changing the N in No Calculations to Y.
