Using Word Templates

There may be situations when documents must be created that require special formatting that the ChartNet RTF routines cannot handle at this time. Here are some common situations that may require the use of Word templates.

 

If the first page requires different margin settings than the subsequent pages

The first page requires a "text box".

If a logo or other graphic is required in the document and you want to embed the graphic in the final document file but don't want to embed the graphic in the form's header or body because of the space requirements.

 

The following procedure can be used to get around these limitiations. The basic idea is to create a Word "template" file (not to be confused with word .DOT files!) that will be used for merging the ChartNet report test into.

 

Create a "template" document using Microsoft Word and include in the required margins, headers, page footers, and graphics. In other words, the template file should define everything except the body of the report, which will be merged in at distribution time by ChartNet. The template file can have bracketed fields embedded in it anywhere they are needed (i.e. body, header, footer). The template should also define any headers and pages footers required.  The ChartNet forms will only be used for the body of the report, so no headers and footers need to be defined in Forms.

1.By default, the body text will be merged in at the top of the first page, but if you want the body text to merge at a different location, then include the code ".body" where you want the text to start.

2.Save the template file as an .RTF document type, not as a DOC document.

3.The location of where you save the template is important. Save the template .RTF file in the site's folder on your local machine.

a. Example: \program files\chartnet\serialno_xx\system\sites\[site]

4.You now need to send the templates to the ChartNet host server for storage.

6.Enter the site code at the top

7.Click on the button called "Site Graphics"

8.A menu will pop up. Select "Upload site graphics to host". All .RTF, .BMP, and .JPG files located in your local site's folder will be uploaded to the host.

9.Finally, you must tell ChartNet what template file to use for each form. In Forms maintenance, on the Misc page, enter the name of the template document file (no path) in the "Word template" field.

10.Note: Make sure that Microsoft Word is installed on the machine that runs the Request Servers and and MTDISTRIB service.
